  • Who we are

    Since 1997 the Immunisation Advisory Centre (IMAC) has been serving New Zealand as a local source of independent, evidence-based information regarding vaccine-preventable diseases and immunisation.

    In addition to providing national strategic and policy advice, it educates New Zealand's vaccinators, conducts research and provides clinical standards and engagement opportunities for health professionals in the sector.

    IMAC is operated by UniServices and based at the University of Auckland.

    The opportunity

    We are looking for a star Administrator to join our IMAC team based in our Grafton Office. You will provide day-to-day administration activities support for core staff and assistance to the Senior Leadership Team as required.

    Key responsibilities :

  • Maintain systems and records.
  • Arrange meeting bookings, travel & accommodation as required.
  • Provide administrative support.
  • Develops systems and processes to support contract delivery, includes SOPs.
  • Data entry and analysis, proofread and format documents.
  • Support education event management.
  • Coordinates induction for new staff and visitors.
  • Take minutes of meetings and write reports as required.
  • Ensure payments / invoices etc are processed as required.
  • Create and process Purchase Order requests and invoices.
  • Provide financial admin support.
  • Your skills and experience :

    It is essential for you to hold :

  • High school graduate with NCEA 2 or equivalent qualification.
  • Relevant experience in a similar administration role.
  • Proficient in and / or ability to learn various computer programs and applications.
  • Advanced English writing skills.
  • Attention to detail.
  • Experience in providing administrative support to senior staff.
  • Experience in finance admin.
  • The ability to work independently as well as in a team.
  • A commitment to delivering a high quality of service to stakeholders.
  • Strong organisational and planning skills.
  • Strong problem-solving and innovative solution skills.
  • Effective verbal, written and interpersonal communication skills.
  • A high level of integrity and attention to detail with a can-do attitude.
  • Important to note that as this role is part of the Immunisation Advisory Centre, it is expected the successful candidate will be supportive of the Covid-19 immunisation response.
