Enterprise Portfolio Office (EPO) Coordinator

6 months fixed-term, 40 hours per week

The Enterprise Portfolio Office (EPO) plays a pivotal role in supporting the diverse portfolio of programmes and projects across Waikato District Health Board.

The team works alongside clinical, corporate, operational support teams, right through to regular contact with the DHB’s Executive Leadership Team (ELT).

We are seeking a self-starter’ and reliable EPO coordinator to join our busy team, responsible for ensuring the smooth operation and running of the EPO.

As the EPO coordinator, your work will be professionally challenging with constant opportunities for growth, in an ever-changing environment, keeping things interesting on a daily basis.

The EPO coordinator provides hands on support to the EPO and will take ownership for administration, data collection, communications, workshop / meeting organisation and much more.

In most instances, the EPO coordinator will be the first point of contact for the wider Waikato DHB project community therefore having a personality that enjoys building strong relationships and a team player is critical.

This role also offers Personal Assistance (PA) support to the Director, and other EPO team members. Being highly organised with the ability to pre-empt needs will enable you to successfully provide this invaluable support.

  • Coordinate and manage the correspondence from all areas of the organisation including senior executive for the purposes of facilitating expeditious investment outcomes
  • Coordinate the investment approvals pathway, investment requests and investment submission via the ELT
  • Perform PA functions for the EPO Director
  • Cross-functional support to the wider Enterprise Portfolio Office team
  • Manage small to medium projects in the office
  • An admin superstar who thrives at playing the critical supporting role in the team
  • Highly developed interpersonal and communications skills
  • Ability to balance, prioritise and progress multiple tasks
  • The ability to understand complex information and explain it to others
  • Structured and methodical approach to complex tasks
  • Ability to work under pressure and meet strict deadlines including being self-motivated to and organising workload
  • It is essential you have strong administration experience, and it is desirable you have relevant project management and / or Personal Assistant (PA) experience.

    Having a recognised project management qualification such as Prince2, PMI frameworks, P3O / P3M3 would be a bonus.
