JoinBiosecurity New Zealand's Mail Pathways Project Team to lead the delivery of a key project within the Biosecurity New Zealand portfolio.

Kōrero mō te tūranga - About the role

We are looking for a high performing project co-ordinator to support the Biosecurity New Zealand Mail PathwaysProject. The Mail Pathways Project is delivering new technology and processes to ensure biosecurity pests and threats do not enter New Zealand via the international mail pathways and it transitions the Biosecurity Clearance operation into the New Zealand Post Auckland Processing Centre.

The Project Co-ordinator will be responsible for providing coordination support across the entire Project.

Your tasks will include :

  • Provide secretariate support for Project Governance boards and Working Groups.
  • Coordinate governance papers, external and internal stakeholder engagement and other key meetings.
  • Organise and assist in workshop preparation / facilitation, diary management and change initiatives.
  • Support Sr. Project Manager and Project Managers in maintaining project schedules, risk, issues, actions, dependencies, lessons learnt log and other key project documentation.
  • Provide quality assurance by maintaining project sites (SharePoint, Piritahi), registers and saving key documentation in the appropriate places.
  • Support the development of governance reports, briefings, Dashboards and communication material when required.
  • Support stakeholder engagement activities.
  • Peer review and sense check documents as required.
  • Monitor the project mailbox and action register.
  • As an experienced project co-ordinator, you will bring :

  • Project and / or Programme Coordination experience.
  • Knowledge of administration and business support systems and processes.
  • Experience in communicating with external service providers and suppliers.
  • Experience in gathering, organising and communicating information. This includes being able to quickly understand the nature of problems, identify a range of possible solutions (including their implications) and form conclusions.
  • The ability to plan, set priorities and meet deadlines whilst preserving the highest levels of accuracy and confidentiality.
  • High degree of initiative and perseverance. Have meticulous attention to detail.

  • Have high levels of personal organisation and self-management.
  • Have excellent written and verbal communication and presentation skills.
  • The ability to develop and maintain effective relationships with managers, staff and project stakeholders.
  • Strong focus on providing high quality professional service.
  • Ability to work under pressure.
  • Computer letercy, especially in MS Office Suite of products.
  • Responsibilities of this position may change over time and the Project Co-ordinator will need the flexibility to adapt and develop as the environment evolves and the needs of the business change.

    Mō tō mātou rōpū - About our team

    You will be part of the Biosecurity New Zealand Mail Pathways Project Team. You will report to the Manager Border Clearance Services, via the Senior Project Manager Mail Pathways.

    You will work closely with the Change and Systems & Technology Project Managers, wider Mail Pathway Project Team and wider NZ Post Programme Management Team.
