The Malaghan Institute is New Zealand’s leading independent health research organisation, with around 90 staff dedicated to finding cures for diseases using the body’s own immune system.
We have an opportunity for an ambitious HR Administrator / Coordinator to join our small HR team to work across a wide variety of administration and coordination tasks in a busy and challenging research environment.
This is a generalist role, so daily activities will vary. The ideal candidate will be skilled at prioritising and working across multiple workloads, and keen to take initiative to resolve issues and meet and work towards important deadlines.
This role will also include a Research Office component, which looks after the organisation’s grant applications, including funding contracts and online application grant portals.
Prior experience within the funding environment is not required but would be advantageous.
Organise new staff inductions, coordinating training and on-boarding for all new staff and students;
Work across the recruitment space, including generating and posting job ads, contacting candidates, setting up interviews, checking references, liaising with managers regarding applicants, and answering external requests and queries, recruit locally and overseas;
Respond to general HR administration queries and be responsive to employee questions or concerns;
Maintenance of HR database, ensuring data accuracy;
Notification and correspondence around contract variations and terminations;
Support visa applications and liaise with Immigration NZ where necessary and ensure proper employment documentation filing is up to date in the HRMIS;
Support the HR Manager across diverse and meaningful HR projects;
Help drive and support the Research Office function of the organisation, including assisting scientists to apply for grants, liaising with funding bodies, distributing funding contracts, and maintaining the grants database;
Thrive in an Admin / Support environment.
Previous experience in a busy administration role with 2-3 years of experience in an HR Administration position, or equivalent role;
An HR qualification;
Excellent verbal and written communication, prior experience building relationships with and influencing managers an advantage;
Confident generating employment documentation across a wide range of employment circumstances, including employment contracts and variations;
Excellent at prioritising across a busy workload and working to meet deadlines;
Confident working with and handling confidential material;
An efficient worker with a keen eye for finer details;
Willing to work across a wide platform of different coordination tasks, including the Research Office (training in the research office component will be provided);
Knowledge of Microsoft Office suite;
Interested in legislative HR changes and staying in the know;’
Ideally, familiar with a funding or research environment, but this is not required.
