Executive Services Coordinator to CEO at Pukekohe Family Health Care
Summary of Position
To provide high-level administrative and programme co-ordination support to Executives in PFHC - in particular the CEO.
This will include clerical work. However, the Executive Assistant will also perform duties that will have an effect on the success on profitability of the business.
Such as helping with marketing research, internal and external communications, co-ordination and oversight of key executive programmes of work, training staff, and scheduling important meetings.
Previous work experience in an administrative assisting position is required.
The job is 3 days a week as a minimum
0830 ? 1700 Monday to Friday
Duties of an Executive Assistant
Provide administrative assistance in performing clerical tasks, like accepting and making phone calls, setting business meeting agendas and completing minutes, sending memos, assist in drafting key documents, reviewing incoming reports, and setting the CEO's daily schedule.
You will have a high level of skill in completing documents for communication and referencing.
Office 365 suite is essential along with proven numerical skills (basic understanding of Xero accounts package desirable).
Understanding of a Project Management systems is desirable.
Understanding of a medical PMS system (MedTech / Indici) is desirable.
Assist with co-ordination and oversight of key executive projects and programmes of work, following up on outstanding team actions, ensuring key messages are disseminated and co-ordinated, assist with development of key project and programme work schedules and documents.
Conduct research to prepare statistical reports that are used to make business decisions. Since the reports can potentially impact the direction of the Practice a keen understanding of business concepts is expected.
It is expected that you hold a degree in either general business, or in a health, suitable to work in a GP medical centre.
Act as a gatekeeper. You will control which phone calls and reports go through to the Executive, as well as what meetings are scheduled.
To fulfil this responsibility, you will clearly understand the goals, values, and needs of both the Practice and the Executive.
Supervise and Train Clerical Staff
The Executive Assistant will work closely with other administrative assistants to complete certain tasks that require collaboration and supervision.
Because of your comprehensive understanding of the needs of the Executive, and the operation of the business you will be involved in training incoming assistants.
