About the role The Senior Project Coordinator is responsible for working on one of Xero’s largest programmes of work, transforming our architecture and engineering to get us ready for our next stage of growth.

The size, importance and impact of this programme makes it the sort of opportunity that you only come across once or twice in your career.

The role includes working with multiple areas of the business to establish, improve and maintain project and resource management systems and tools, and to support the successful delivery of the Programme.

This includes assisting project and programme managers to create and maintain good project and programme management processes, toolsets and documents.

This role will ensure that project documentation is maintained and updated regularly, including the identification and resolution of project related risks, issues, actions and decisions.

What you'll do :

  • Assist the Project team to establish, implement and improve good project management and key documentation practices across the team
  • Prepare for and ensure smooth running of project meetings and reports, managing actions and following up with team members to ensure tasks are completed on time, risks and issues are actively managed, updated and documented
  • Assist in coordinating and tracking resources and activities to ensure delivery of projects, initiatives and work requests
  • Support the Programme team by providing general project support when required, this may include the setup and coordination of project meetings, workshops and events
  • Provide support and champion good project management practices and guidance on completing required project documentation
  • Shadow and support project managers to deliver successful outcomes for projects, including leading projects in their absence where appropriate
  • Maintain project and programme Confluence pages
  • Assist with any financial aspects of projects and programmes - this could include collating financial information, raising and receipting purchase orders and validating invoice information

  • Proactive work style, pre-empting work and project tasks where possible
  • Strong communicator with the ability to communicate across all parts of the business
  • Ability to respond to a range of activities in a professional and responsive manner
  • Approaches tasks with enthusiasm and a can-do attitude
  • Tertiary or Project Qualification (such as PMP, CAPM, Prince2 or Agile PM) and / or appropriate industry experience
  • Experience working on large projects or programmes, and managing project risks, issues and actions
  • Experience delivering initiatives or BAU work from concept through to delivery
  • Can demonstrate the ability to quickly build effective working relationships with others at all levels of the organisation
