A fantastic opportunity for an experienced EA. 1 year maternity leave cover at one of Auckland’s most renowned Advertising and Communications agencies with a culture that is second to none.

The perfect candidate for this role will have at least 5-years at senior PA / EA level experience and ideally come from the creative, media or entertainment world.

The right person will hit the ground running providing executive support to the CEO and assist the Chief Creative Officer in administrative tasks when required.

Effective diary management and work / personal needs are met daily.

This candidate will be highly personable, engaging, professional, with the ability to develop and maintain relationships with all staff, clients, and business contacts within the Groupe.

Flexibility, eye for detail and common-sense are all paramount in this position where workload and diaries will change one day to the next and confidentiality is a must.

It’s important this person be naturally confident, can always prioritize and be one step ahead. Event coordination / project management experience is vital in this role.

You will also be someone who values integrity and discretion above all else and can provide as-required support to any level of staff and will go the extra mile for those around you who seek out your advice or unbiased ear.

What will you be doing?

  • Assisting the Directors with many varied tasks from managing diaries, booking appointments & travel, CEO / CCO time management, processing of expenses / timesheets / leave requests, organizing lunch / catering and making sure their schedule is well planned out;
  • You will need to be hands-on and understand the practicalities around office, building and tenancy management & maintenance.
  • You will oversee the Experience Manager (Front of House) to arrange and sign off on tradespeople and all workplace activities
  • Manage outgoing communications to staff and / or clients as and when required. Meet and greet guests coming into the agency in a friendly and personal manner.
  • Raises purchase orders in Pegasus, signs off invoices, and ensures orders are within budgets where applicable.
  • manage all events such as Agency away days, Groupe Townhall sessions, Christmas functions, staff / client events; catering;
  • corporate gifting; birthdays; new babies etc.;
  • will be the Agency eyes and ears, know the pulse of the agency and ensure the Executive Team are aware of areas requiring their attention.
  • Knowing staff whereabouts, awareness of big meetings or larger issues facing the agency.
