Executive Assistant

  • Support role to ensure effectiveness of the General Manager's way of working
  • Work with the Office Manager, Office of the Chief Executive for professional development and mentoring
  • Permanent position based in Wellington You will be a member of the WorkSafe Administration Network and work with the Office Manager, Office of the Chief Executive for systems, processes, professional development and mentoring.
  • We are currently recruiting an Executive Assistant for the General Manager Digital and Information Services.The successful candidate will :

  • Develop a supportive and effective working relationship with the General Manager that supports their group's priorities, values, goals and ways of working
  • Use systems efficiently and make use of technology to work smarter and enhance productivity
  • Ensure diary management, monitor and screen phone calls, emails and other communications
  • Identify any potential issues the General Manager should be aware of and respond appropriately
  • Proactively manage day to day matters on behalf of the General Manager
  • Organise meetings and prepare the General Manager to support their participation in the meeting
  • Use your discretion to deal with high level, urgent, confidential and sensitive issues where appropriate
  • Establish and maintain key internal relationships, in particular with Commercial Services, ICT, and external relationships
  • In accordance with WorkSafe policies and procedures
  • arrange travel through travel provider
  • process invoices using FMIS
  • coordinate events and catering
  • ensure effective information managementWe are looking for someone who :
  • Has a proven track record in providing administrative support to executives
  • Is quick, flexible, and adaptable
  • Has excellent time management skills and is able to multitask
  • Is a team player
  • Has proven relationship management skills
  • Has strong communication, influencing and interpersonal skills
  • Demonstrates proactive approach and takes initiative
