Job Description

We are looking for an experienced Executive Assistant who will provide support to the CEO and the broader leadership team.

The ideal candidate will provide a highly pro-active and confident level of executive assistance, administration, secretarial and office management support to the Lead Team which contributes to seamless and efficient running of Torpedo7 as necessary.

Some key areas of responsibility include :

  • Executive Support to CEO and broader leadership team
  • Manage and coordinate calendars for the CEO and broader leadership team (as required)
  • Pro-actively manage off-sites and events for team including planning, managing the budget, logistics and collating content, communications to all presenters and attendees
  • Organise senior management meetings, manage attendance, agenda preparation, take meeting minutes and issue minutes and actions
  • Book meeting resources and effectively manage all logistics and requirements, including conference and video calls and meetings for both internal and external requirements
  • Assist with various administrative duties and project administration accurately and efficiently
  • Office Management including managing day to day operations of the area and facilities, ordering supplies, arrange travel for the Lead Team members as required
  • Act as a key point of contact for visitors, external agencies and vendors.
  • Claim expenses for the CEO, budget management, creation of purchase orders, month end reconciliations
  • Proactively manage files and records
  • Open and distribute all correspondence / mail appropriately
  • Health and Safety Coordination
  • Qualifications

  • Minimum 3 years of previous EA / PA experience, preferably in a fast-paced commercial and / or financial services environment
  • Strong understanding of a commercial environment and structure and various operations and functions of a business
  • MS Office (advanced), including latest versions of Outlook, Word, Excel and PowerPoint, and preferably with Office 365
  • Experience in drafting, developing and editing a range of presentations, ideally using a range of presentation applications and incorporating information from a variety of sources
  • Experience or reasonable exposure to event and project co-ordination
  • Ability to implement systems and procedures.
  • Must be a self-starter with strong organisational skills, with the ability to manage multiple tasks.
