Job Description

Overview : This position supports the planning, development, management and execution of events that support the firm’s strategic goals.

The person must have knowledge for corporate event planning, contracting, and managing multiple timelines and coordination of events in auditoriums, boardrooms and conference rooms.

Responsibilities : Assist in the contract, plan and execution phases of both small and large scale events meetings, luncheons, conferences, dinners and receptions.

Coordinate logistics for internal meetings, in-house and external client events and internal learning sessions and workshops.

Including audio / visual services, food and beverage, décor, and vendor management.

Hands-on involvement and service-minded attitude from pre-event management to post-event follow through.

Manage and adhere to master event calendar and timelines.

Manage master speaker calendar for all US events and coordinate cross-department resources.

Manage, document and update event planning processes.

Coordinate conference budgets, data collection and archiving.

Coordinate logistics for audio / visual services, food & beverage, décor, setup / breakdown, vendor management, event communications and budgets.

Willingness to roll up sleeves with logistics and details.

Create and manage custom websites for US events using Cvent’s software Ensure quality control for all conference deliverables, including proofreading and design approval.

Qualifications : Bachelor’s degree 3 years of experience in corporate event planning required.

Understanding of auditorium staging and support for meetings of all sizes.

Ability to work equally well in a team environment and independently.

Ability to work with C-level executives internal and external customers.

Self-starter who is an independent thinker capable of managing multiple projects and meeting deadlines.

Strives for continuous improvement Detail oriented with the ability to multi-task across different projects and events in parallel.

Exceptional organizational and follow-through skills.

Excellent verbal and written communication and interpersonal skills.

Strong computer skills (MS Office, MS Project, Cvent) with the ability to learn programs as needed.

Knowledge of finance industry a plus.

CMP and / or CMM a plus.

Knowledge of finance industry a plus.

Minimal travel requirements.
