Based at our Auckland branch in Penrose, the Government & Institutions Services (GIS) Coordinator will be responsible for all administrative GIS duties and MPI phytosanitary Certificate verifications associated with SGS Agricultural operations.
The role also assists with IVA (independent verification agency) inspections, verifications, surveying and other quality assurance work, always ensuring that all tasks undertaken are performed in a truly professional manner so that the integrity of SGS is not compromised in any way.
Responsibilities include : Independent Verification Agency activities, such as :
MPI Phytosanitary Certificate verifications including weekends / after hours where required
To assist with IVA inspections, verifications, surveying and other quality assurance tasks
General & GIS activities, such as :
Receive customer Verification orders and requests for inspections, ensuring these are prepared and transmitted to Inspectors and ensuring customer’s requests are actioned in a timely manner
Ensure that all outwork undertaken is performed in an effective and timely manner and the corresponding administration is clear, concise and accurate.
Receive inwards reports from field Inspectors, confirming accuracy, completeness and ensuring any deficiencies are quickly resolved
Manage affiliate or off-shore client inspections as they present themselves
Liaise with customers, as necessary, to ensure good customer relationships are maintained
Co-ordination of all aspects of retail audits including overseas audits
Prepare and issue SGS commercial and GIS reports and certificates in a manner that does not expose SGS to client claims due to erroneous content
Comply with any reporting functions specific to the position, as directed or required.
Achieve the highest levels of customer service to maintain and grow the commercial and statutory services as well as the general customer base.
Maintain job files through to completion and preparation of invoicing to ensure clients are invoiced correctly and in a timely manner
Assist with control of stocks of essential items for Branch and Sector operations
Participate in meetings / conferences that are deemed necessary to the position
Actively participate in training and development programmes as necessary
Keep your Manager informed of essential administration activities under your control
Comply with SGS Operational Integrity policy and current Health & Safety legislation
With continuous improvement in mind, suggest and initiate process improvement where efficiencies and best practice will achieve optimum results for SGS and our customers
Support the team by undertaking various data entry and administration tasks as directed
Always act with integrity and in the best interests of SGS
Participation in after hours / weekend certificate verification and inspection roster.
Profile and Required Skills :
Sound administrative skills, including proficient report writing and computer skills and simple database management experience.
A tertiary qualification in a business discipline and / or experience in horticulture will be an advantage.
Ability to gain MPI accreditation for IVA activities.
Strong and positive customer service orientation.
Ability to communicate effectively, yet firmly when required.
A team player who works cohesively in a team environment.
Competent numeracy and literacy skills.
Demonstrated problem solving and analytical skills
Ability to work and communicate with all SGS staff and management at all levels
Good organizational skills and a flexible can do attitude

Current and unrestricted New Zealand drivers Licence and the ability to operate a manual vehicle.
A flexible and adaptable attitude.
Able to organize own work schedule, self motivated and work unsupervised in remote locations.
Must be physically fit, due to the physical demands of the role.
Availability to participate in after hours / weekend roster work.
