Job Description

Fulton Hogan is proud to be working with our alliance partners Waka Kotahi NZ Transport Agency, Aurecon, HEB Construction, McConnell Dowell and Freyssinet to deliver the Northern Pathway, a walking and cycling path from Westhaven to Akoranga.

The Northern Pathway project will provide a seamless dedicated walking and cycling link between Central Auckland and the North Shore and will connect with existing local paths to extend the region’s walking and cycling network.

About the role

We are seeking an enthusiastic, reliable, and highly organised Office Coordinator to help manage the day-to-day running of our busy office located at Westhaven Marina.

Within this diverse role no two days are the same, making this an amazing place for someone with excellent organization skills to become a crucial part of our team.

Your eye for detail, ability to remember names and build strong relationships both internal and external will ensure the office runs smoothly in every aspect.

You are the go-to person to get things done.

What you will be doing

  • Develop and implement office policies and processes as necessary
  • Reception duties welcome guests, answer calls and transfer / take messages
  • On-boarding new team members with their laptop, office layout and introductions
  • Organising meetings, managing the meeting room diaries
  • Managing databases, updating records and systems
  • Provide administrative support to the project team.
  • Booking travel and organising catering.
  • Coordinate with external suppliers for all office equipment and supplies
  • Ensuring the general upkeep of the office, liaise with the building management, cleaners and other services.
  • Positively promote and incorporate the Alliance’s Health, Safety and wellbeing policies in all aspects of work.
  • About you

  • Ability to work independently and as part of a team, prioritising work to meet short-deadlines.
  • A confident communicator whose written and verbal skills can be easily adapted to suit the needs of colleagues, suppliers and clients.
  • Advanced user of the Microsoft Office Suite
  • Proactive approach, eye for detail and accuracy, problem solve on your feet
  • Competent and confident using a range of IT systems
  • Establish strong working relationships
