We are an Auckland-based Category-1 Provider of Healthcare and IT programmes.We are currently looking for a highly professional Executive Assistant who will be reporting to the Chief Operating Officer.

To be successful at this role, you will need to : Demonstrate ability to provide wide range of complex office administration and support to the President / Chief Operating Officer (COO).

Develop, implement and administer departmental office systems, procedures (under guidance from the COO.Follow office workflow procedures to ensure maximum efficiency.

Greet and assist visitors, when they arrive at office.Review, assess, route, answer and monitor follow up action steps on correspondence.

Gather and analyse information required for administrative reporting.Provide wide range of support including : keyboarding, composing and editing letters, memoranda, reports, lecture / course materials, presentations, cases.

Prepares copy for publication or submission of grant proposals and / or reports.Use multiple technical applications including word processing, database management, spreadsheets, graphics and presentation software, electronic calendar, email and other technical / scientific applications.

Use internet (may include web maintenance and design).Manage complex calendars, arrange meetings, appointments and travel arrangements.

Coordinate events, including conferences, seminars and colloquia.Perform library / research work and summarise findings.Create and maintain filing systems.

Answer and route phone calls, emails and email messages.Handle wide-range information dissemination.Contribute to unit effort by accomplishing related duties as required.

Performs housekeeping functions, as may be required from time to time.Is good at typing business emails on behalf of the COO.

Any other duties that are assigned from time to time.
