He angitūtanga : The opportunity
We are looking for Executive Assistant to join the team and assist in providing excellence in senior administration, operational oversight and leadership as needed for critical business services and / or projects on the behalf of the Director and the Senior Leadership team.
This role will support Director-Māori Outcomes and Director-Cultural Organisations.
This is a fantastic opportunity for a highly motivated and proactive EA, with proven experience in a similarly challenging role, to join a dynamic area of the business. This includes :
Ensure delivery of effective senior office administration and organisational support for Directors and / or leadership team as required
Workloads managed ensuring that deadlines are met and to a professional standard
Participate and coordinate projects or initiatives to improve operational processes and business systems
Undertake full range of administrative and organisational tasks including supporting directors with team organisation, organising meetings, minute taking and reporting, and assisting with preparation of presentations and reports
Develop, provide oversight and ensure integration of development and quality assurance for critical projects as required
Train and coach team members to ensure skills and experience reflect the highest levels of service to all internal and external stakeholders
Encourage an environment where open communication is encouraged and teamwork is a key to success
Ensure team members are prepared and equipped with appropriate skills and tools as business demands change
Ensure that onboarding processes relevant and understood by hiring managers
Work with business partners (ICT, Finance and People) to understand end to end process and ensure that systems in place
Support business managers to embed workforce management principles
Proactively manage constructive and positive relationships across Auckland Unlimited and Auckland Council with business partners and Corporate support functions
Utilise effective conflict resolution and relationship management skills, able to negotiate without compromising key objectives, keeps outcomes in mind

You will have strong time management and work prioritisation skills, with the ability to anticipate potential issues and make sound judgement calls.
Minimum of 5 years’ executive administrative experience with a strong knowledge of support a senior executive, or equivalent relevant work experience
Able to demonstrate implementing continuous improvement principles in a work team or leading a process or system change
Proven experience in managing multi-faceted, complex and multi-stakeholder projects
Effective analytical skills able to identify and define problems, provide resolution and make decisions through the exercise of sound and appropriate judgement
Excellent organisational skills, with the ability to complete work accurately and comprehensively, with attention to detail
Demonstrated ability to effectively manage conflicting demands, whilst working under pressure and with time constraints
Must be resilient and have the ability to work in a high-pressure, ever-changing environment
Excellent interpersonal skills and the ability to establish and maintain professional relationships
