About the role

We're excited to support the Chief Nurse and senior members of our national Health Quality and Practice tīma. As Personal Assistant and right-hand person to the Chief Nurse you'll be motivated to ensure their days operate smoothly and to schedule.

  • At the core of your role will be the delivery of routine administration and coordination support including email and diary management;
  • overseeing team travel and accommodation bookings; and establishing and leading minute-taking and action distribution for regular team and specialist advisory board meetings.

    Working at pace and with efficiency is critical in our environment. You'll anticipate needs whilst coordinating team systems, processes and information management, with the freedom to review and improve processes to ensure the Chief Nurse and the wider tīma are well connected and streamlined in the delivery of their strategic work programmes and actions.

    Above all, a confident and professional communication style will be key. You'll take ownership of your role and act as the go-to' point of contact for the group, ensuring general enquiries from both our internal and external partners and stakeholders are responded to or escalated in a helpful and timely way.

    We're eager to hear from experienced PA / EA's who align with our kaupapa and have an understanding of the opportunities and challenges of working in a large, complex government agency.

    Specifically, we'll look for evidence of how you meet the below essential requirements :

  • Demonstrable administrative experience gained through Personal Assistant roles;
  • Cultural competence and a proven willingness to work in Kaupapa Māori environments;
  • Advanced skills in using Microsoft Office applications and information management systems;
  • Stellar organisation and time management skills to support leaders in their work delivery;
  • A personable yet professional communication style both verbal and written;
  • A proven aptitude to develop, foster and maintain positive working relationships; and
  • The ability to maintain a high level of confidentiality and manage sensitive information.
