Position overview

The School of Humanities is seeking an Academic Programme Administrator. This full time on-going position will be based on the Palmerston North campus, although the position will also support staff in Wellington and Auckland.

The successful applicant will provide support to academic staff in all areas of IPP (including setting annual offerings, timetable, course and qualification amendments) and examinations.

To be successful in appointment you will have excellent interpersonal skills and exude a proactive, innovative, adaptable and outcome focussed attitude.

Experience and understanding of University administrative processes and systems would be an advantage.

To provide administrative support to staff in the School of Humanities.

Responsible to

Business Services Manager

Key accountabilities

Academic administration :

  • Process documents through School or College committees, for course and qualification amendments.Manage all academic queries;
  • from both staff and students.

    IPP :

    Gather and enter all information from staff regarding the delivery of their courses.Assist with the process of checking and final sign-

    off.Complete all follow-up tasks including Internal Teaching Timetable.

    Examination Results :

    Administer the examination results process for submission to College Examinations Committee, including the awarding of School Prizes and HoS letters at year-end.

    Postgraduate Administration : Perform administrative duties in relation to Postgraduate students, including :

  • Establishing and maintaining administrative files on each postgraduate student; Ensuring PhD progress reports are submitted to GRS in a timely manner;
  • Processing application forms related to PhD enrolments to GRS; Administering PhD confirmation events; Packing and despatching research essays and theses to examiners as required;
  • Process Postgraduate Examination results;Providing general secretarial support as required.

    Reports : Compile reports through RAPID.

    Events : Assist in organising school functions and events, including Open Days, Classics / History Day, Postgraduate Seminars and Conferences.

    Technical Support : Provide technical support to staff with regards to software and hardware, in particular video conferencing and Zoom.

    Teamwork :

    Participate in office meetings.Provide cover for other staff during peak times or absences.Other duties as directed by the Head of School or Business Services Manager.

    Qualifications

    Appropriate word processing, administrative and information technology training and / or qualifications.

    Experience

    Experience and understanding of University administrative processes and systems would be an advantage.

  • Excellent interpersonal skills, including the ability to communicate with people at a level at which they understand.
  • Experience in office procedures.
  • The ability to develop an understanding and overall working knowledge of the School.
  • Experience in the use and application of computer packages, including MS office software and competency in the use of databases.
  • Ability to multi-task, prioritise all tasks and achieve deadlines with attention to detail is essential.
